What to do when practice moves
By Bryan Nguyen · Updated October 3, 2026
A practice moves from 5:00 to 5:30, or from Field 3 to Field 1, and the week you had settled is suddenly wrong in two or three places. Here is a short routine for those moments.
The short answer
When a practice moves, treat it as a new plan, not an edit. First, read the whole message and note what changed: the time, the place, or both, plus anything new to bring. Second, update the one place your family keeps the week. Third, ask each driver again, by name, with the new time and place in the question, because their yes was for the old plan. Fourth, check whether the change knocks into anything else that day, like a second child's lesson or a parent's late meeting. Finally, tell anyone else who needs to know, like a grandparent doing pickup. A change is handled when every affected ride has a fresh yes, not when the calendar is updated.
What exactly changed?
Coaches write in a hurry. Before you update anything, pull out the facts:
- The time. Start and end, if both are given. "Moves to 5:30" often means the end moves too.
- The place. A new field number or a different park.
- Which practice. "Tuesday" can mean this Tuesday or every Tuesday. If it isn't clear, ask the coach.
- Anything new to bring. Changes often come with "and bring your white jersey."
Who needs to hear about it?
Everyone whose job touched the old plan:
| Change | Who to ask again |
|---|---|
| New start time | The drop-off driver |
| New end time | The pickup driver |
| New place | Both drivers |
| New day | Both drivers, and check the other kids' activities that day |
How do you re-ask without a group text spiral?
Ask one person at a time, with the full detail in one message: "Practice moved to 5:30 at Field 1 on Tuesday. Can you still do pickup at 6:45?" A specific question gets a specific answer. Count the ride as covered only when that person says yes. A thumbs-up on the original plan doesn't carry over.
What if the new time doesn't work for the driver?
Then the ride is open again. Say so plainly ("Tuesday pickup is open now") and ask the next person directly. Until someone says yes, the ride still needs a driver.
What about cancellations?
A canceled practice is a change too. Before you take it off the week, check that it really is canceled and not moved. Messages like "practice may be canceled if it rains" are a maybe, not a cancellation: keep the plan and check again closer to the time.
Common mistakes
- Updating the calendar and assuming the drivers saw it.
- Changing the time but not the place, or the other way around.
- Re-asking the group chat instead of the one driver.
- Treating "might be canceled" as canceled.
- Forgetting the knock-on: a later end time can make the next activity's drop-off impossible.
How FamHuddle does this
Forward the coach's email and FamHuddle shows the change it read next to the line it read it from: the old time crossed out and the new one beside it. Nothing changes until you confirm. Once you do, every driver the change affects is asked again, and the ride shows "Needs a driver" until someone says yes. A possible cancellation gets its own warning, and you choose whether to keep it, cancel it or decide later.
