Getting started

Install on iPhone

Video coming soon. The steps below work today.

  1. Install Apple's TestFlight app from the App Store.
  2. Open the TestFlight invitation email and tap View in TestFlight, then Install.
  3. Open FamHuddle. Tap "Sign in with Apple" if you see it, or type your email and tap "Email me a sign-in link".
  4. On "Check your email", open the link on this phone, or type the six-digit code and tap "Sign in".
  5. You're signed in. New to FamHuddle? Enter your name and a family name, then tap "Create the family".

Getting started

Install on Android

Video coming soon. The steps below work today.

  1. Open app.famhuddle.app in Chrome on your phone.
  2. Tap the three-dot menu, then "Add to Home screen" (on some phones, "Install app"), then "Add".
  3. Open FamHuddle from your home screen, type your email and tap "Email me a sign-in link".
  4. Open the link in the email on this same phone. It expires in an hour.
  5. You're signed in. New to FamHuddle? Enter your name and a family name, then tap "Create the family".

Send it in

Email

  1. Forward the coach's or school's email to your family's FamHuddle address.
  2. Your address is on the Start screen after you create the family, with a "Copy address" button, and under "Forwarding address" in Settings on the web.

Photo or file

  1. On Today, tap "Send it in".
  2. Under "What is it?", pick what you're sending, such as "Paper flyer or notice".
  3. Tap "Take a photo", "Choose from photos" or "Choose a file".

Chat or text

  1. On Today, tap "Send it in", then "Paste text".
  2. Paste the message under "The message" and tap "Send the text".

What happens next

  1. You'll see "Sent for review. It shows up under Review once read."
  2. When it's read, a strip on Today says how many new messages are waiting to review.

Next: Review and confirm

Review and confirm

  1. Tap "Review" at the bottom, or the new-messages strip on Today.
  2. Read the quoted line from the original message at the top of the card, then check the proposed title, date and time.
  3. To fix something, tap "Edit before confirming" and change "Title", "Date", "Start", "End" or "Where".
  4. Tap "Confirm" (or "Apply change" when it updates an activity you already have). For a repeating activity, pick "Only this time" or "All future" first.
  5. If it's wrong, tap the X to dismiss it. Nothing reaches your plan until you confirm.

  1. On Today, tap "Add to plan".
  2. Type a "Title", then under "Who" tap the child (or add one).
  3. Choose the category, the "Date", "Start" and "End", and a "Location" if you like.
  4. Choose "Does not repeat", "Weekly" or "Custom days".
  5. Tap "Add to the plan".

Next: Ask for a ride

Ask for a ride

  1. On Today, tap the activity, then find "Drop-off" or "Pickup" under "Driving".
  2. Tap "Ask someone". Pick the other adult, or type a name under "Or someone outside the family", then tap "Send request".
  3. For someone outside the family, tap "Send [name] a link to answer", then "Copy link", and send it to them by text. Tap "Sent it".
  4. They open the link, no app or account needed, and tap "I can drive" or "Can't this time".
  5. Their answer shows on the activity's Driving row.

Invite the other adult

  1. Tap "Settings", then "Adults". Only the family admin can invite.
  2. Under "Invite another adult", enter their email and choose what they can do.
  3. Tap "Send the invitation". If you see a link instead, tap "Copy link" and send it yourself.
  4. They open the email link and sign in with that same address.
  5. They enter their name and tap "Join" with your family's name. You now share one plan.

The evening Huddle and reminders

The evening Huddle

  1. Each evening, 7:30 PM unless your admin changes it, FamHuddle sends "Tomorrow at a glance".
  2. Tap it to see only tomorrow's items that need you, such as a missing driver or an unchecked gear list.
  3. Tap an item to fix it, or "Show everything" for the full day.

The leave-by reminder

  1. When Today asks "Reminders on this phone?", tap "Turn on reminders".
  2. Open an activity, tap "Edit times and place", set "Travel", and tap "Save".
  3. When you're driving, FamHuddle sends "Drop-off: leave by" or "Pickup: leave by" with the time to go.

Next: What the colors mean

What the colors mean

  1. A dark bar you can tap means something needs you: a new message to review, a bag not packed yet, or a ride with no driver.
  2. A red strip on a card means that activity might be canceled. Tap "Review" to decide.
  3. A dashed outline means the activity isn't fully set yet, such as a missing time.
  4. Light labels, like "Time not stated" or "Needs a driver", say what's missing. Tap the dark bar under them to fix it.
  5. Words like "accepted" mean that part is settled. A card with no dark bar needs nothing from you.

Next: Practice canceled or moved

Practice canceled or moved

  1. When a message says a practice might be canceled, its card on Today gets a red strip. Tap "Review".
  2. Read the coach's message and check which activity it means.
  3. Tap "Keep" if it's still on, "Ask at" to be reminded before the coach decides, or "Cancel it" once you know.
  4. A canceled practice comes off Today.
  5. A new time or place works the same way: check it, then tap "Apply change".

Change something in your plan

  1. On Today, tap the activity.
  2. Tap "Edit times and place".
  3. Pick the new start or end time, or type a new place.
  4. For a repeating activity, choose "Only this time" or "All future".
  5. Tap "Save". If a ride is affected, FamHuddle asks the driver again and shows where each ride stands.

See it in your calendar

  1. Tap "Settings", then "Calendar subscription".
  2. Choose what else to show, such as who is driving each leg.
  3. Tap "Create my subscription link".
  4. On iPhone, tap "Open in calendar app", then "Find", then the check mark.
  5. For Google Calendar, tap "Copy link". On a computer, open Google Calendar, choose "Other calendars", then "From URL", and paste it.
  6. Calendar apps can take a few hours to pick up a change. Urgent changes still come through FamHuddle.

Reminders not showing up?

  1. Tap "Settings". If it says "Notifications are off for FamHuddle on this phone", tap "Open phone settings".
  2. Tap "Notifications", then turn on "Allow Notifications".
  3. Go back to FamHuddle. "Notification on this phone" is selected again.
  4. Rather get reminders by email? Tap "Email" under "Reminders arrive by".

Packing list

  1. On Today, tap the "Gear" bar on an activity, or open the activity.
  2. Tap an item once it's in the bag. Packed items move to the bottom.
  3. Not sure where something is? Tap "Where is it?" and pick a place, like "Mom's car".
  4. To add something just this once, type it under "Add an item" and tap "Add".
  5. Each new activity starts from a gear list. Change the lists in "Settings", under "Gear lists".

Next: Add a child

Add a child

  1. Tap "Add to plan" and type the activity's title.
  2. Under "Add a child", type the child's name and tap "Add". They're picked for this activity.
  3. Choose a category, the date and the time.
  4. Tap "Add to the plan". The child is now part of your family's plan.

Next: Your family's privacy

Your family's privacy

  1. Tap "Settings", then "Your data".
  2. "How long things are kept" lists everything FamHuddle keeps and for how long. Raw messages are deleted after 30 days.
  3. Tap "Request an export" to download your family's plan, members and history as a file.
  4. To remove everything, type your family name under "Delete the family" and tap "Request deletion". It can't be undone.
  5. FamHuddle never sells your data or shows ads. The full privacy policy is at famhuddle.app/privacy.

Can't drive? Hand it off

  1. Open the activity and find your ride under "Driving".
  2. Tap "Can't do it". The ride shows "Needs a driver".
  3. Tap "Ask someone", pick the other adult (or type someone outside the family), and tap "Send request".
  4. They get a notification. When they tap "Accept", the ride is theirs and you'll see it on Today.

Next: When a message has nothing to add

When a message has nothing to add

  1. Sometimes FamHuddle reads a message and finds nothing for the plan, like a reminder with no date.
  2. Review then shows "One message had nothing to add" with the message, so you can check it.
  3. Tap "OK" to clear it.
  4. If it did matter, tap "Add to plan" on Today and add it by hand.

Next: Report a problem

Report a problem

  1. Tap "Settings", then "Report a problem". Or take a screenshot in the app and tap the report offer.
  2. Say what you expected and what happened instead. You can add a screenshot.
  3. Tap "What's included" to see exactly what goes with it: the screen and app version, never your messages.
  4. Tap "Send report". We reply by email.

Send school and team emails automatically

Video coming soon. These steps start working when FamHuddle's email address goes live. Until then, forward emails to FamHuddle by hand.

Add FamHuddle as a forwarding address

  1. In FamHuddle, tap "Send it in", then "Forward an email", then "Copy address". This is your family's FamHuddle address.
  2. On a computer, open Gmail. Click the gear icon, then "See all settings", then the "Forwarding and POP/IMAP" tab. (The Gmail phone app can't set up forwarding.)
  3. Click "Add a forwarding address", paste your FamHuddle address, then click "Next" and "Proceed".
  4. Gmail sends a confirmation code to FamHuddle. Open FamHuddle and tap "Review": the code is waiting under "Your Gmail forwarding code". Tap "Copy code".
  5. Back in Gmail, paste the code and click "Verify". Leave "Disable forwarding" selected: you only want emails from the coach or school, not everything.

Forward only the emails that matter

  1. In Gmail's search bar, click the filter icon ("Show search options").
  2. In "From", type the coach's or school's email address. Add more with OR, like coach@example.com OR office@example.org.
  3. Click "Create filter", tick "Forward it to", choose your FamHuddle address, then click "Create filter" again.
  4. From now on, those emails reach FamHuddle by themselves and wait in Review. Nothing changes your plan until you confirm it.
  5. To stop, open Gmail's "Filters and Blocked Addresses" settings and delete the filter.

Add a team's schedule

  1. In the team app, find the schedule's subscribe or iCal link and copy it. TeamSnap: Schedule, then Subscribe.
  2. In FamHuddle, tap "Settings", then "Team schedule feeds".
  3. Pick the child, name the team, paste the link and tap "Subscribe".
  4. Within a minute, new games and practices wait in Review. Check them and tap "Confirm".
  5. Changed games come in the same way, so you never retype the schedule.

Next: Show when you're busy

Show when you're busy

  1. Tap "Settings", then "Calendars".
  2. Google: tap "Connect Google Calendar on the web". Apple Calendar or Outlook: paste the calendar's published link.
  3. Give it a name, like "Work", and tap "Subscribe".
  4. FamHuddle reads only the times you're busy, never what the events are, and never changes your calendar.
  5. On Today, a drive that clashes with a meeting says "overlaps", so you can hand it off in time.

Chores and a kids' board

  1. Tap "Settings", then "Chores", then "Add a chore".
  2. Pick the child and a chore, choose how often, and tap "Add to the plan". Chores show on Today.
  3. For a kids' board, use a spare phone or tablet with FamHuddle signed in: tap "Settings", then "Devices". Name it and pick who it shows.
  4. Tap "Use this device as a board". It now shows that child's day: activities, packing and chores, nothing else.

Set your family's defaults

  1. Tap "Settings" and find "Family".
  2. "I drive unless someone else accepts" puts one adult on new rides by default. Pick "Off" to leave them open.
  3. "Prep before leaving", "Arrive early" and "Travel" set the leave-by time for every activity. Tap "Change", pick, then "Save".
  4. "Quiet hours" hold reminders overnight. Each adult can set their own under "You".
